Microsoft 365

Microsoft 365 originated as Office 365, a cloud-based subscription bundle first released in June 2011. It replaced the traditional perpetual-license model of Office with a pay-as-you-go service that included automatic updates, cloud storage via OneDrive, and hosted Exchange, SharePoint, and Lync (later Teams) servers. In April 2020, Microsoft rebranded the consumer and small-business tiers as Microsoft 365, while enterprise plans retained the Office 365 name until 2022. The rebranding emphasized the integration of Windows 10/11 licenses, device security, and productivity tools into a unified platform. By 2024, Microsoft 365 had become the dominant delivery model for Office, with over 400 million paid seats worldwide.¹ The service is available in several tiers: Personal, Family, Business Basic/Standard/Premium, Enterprise E3/E5, and Education/Government variants.

The core of Microsoft 365 is the desktop and web versions of Word, Excel, PowerPoint, Outlook, OneNote, and Publisher (Windows only). Each subscriber receives 1 TB of OneDrive cloud storage, 60 minutes of Skype international calling per month, and access to Microsoft Teams for chat and video conferencing. The subscription ensures users always have the latest features, security patches, and compliance updates. Additional components include Microsoft Editor (AI-powered writing assistant), Clipchamp (video editor), and Microsoft Defender for individuals. For enterprise plans, Microsoft 365 includes Azure Active Directory, Intune mobile device management, and advanced threat protection. The introduction of Microsoft Copilot in 2023 brought generative AI into Word, Excel, and PowerPoint, enabling natural-language commands and document summarization.²

Microsoft 365 for business is divided into three main tiers: Business Basic (web & mobile apps only, no desktop), Business Standard (full desktop apps), and Business Premium (adds security and device management). Enterprise plans (E3, E5) offer unlimited storage, advanced compliance tools (eDiscovery, legal hold), and Power BI Pro integration. The E5 tier includes advanced security analytics and voice capabilities via Microsoft Teams Phone System. In 2023, Microsoft introduced the Microsoft 365 Copilot add-on for enterprise customers at $30 per user per month. Educational institutions receive discounted plans, often including Office 365 A1 (free, web-only) and A3/A5 (with desktop apps). Government customers (GCC, GCC High, DoD) have dedicated cloud instances meeting FedRAMP and ITAR requirements.³

Beyond the well-known apps, Microsoft 365 includes several niche features: the Microsoft 365 Admin mobile app allows IT admins to manage users and reset passwords on the go. The MyAnalytics (now Viva Insights) dashboard provides personal productivity data, such as time spent in meetings or focus hours. The Microsoft 365 Learning Pathways offers in-app training content for users. A less-publicized feature is the Microsoft 365 Personal Vault, a locked folder in OneDrive with two-factor authentication. The Microsoft 365 Archive (for SharePoint) allows cost-effective long-term storage of inactive data. The service also includes a Bookings app for scheduling appointments, and Microsoft Lists for tracking information. For developers, Microsoft Graph APIs enable deep integration with the platform, allowing custom workflows and automation.
